Back Office User Roles

What permissions each role has, and how to assign roles correctly

Back Office User Roles in TXN allow you to control who can view information, create transactions and manage settings. Correct role setup is critical for financial security, internal controls, and scalable operations.


Available User Roles in TXN

Viewer (Read-only access)

Perfect for Accountants, Finance managers, Auditors, or Executives who need visibility only.

Viewers can only view transactions. They cannot move funds, manage an API, or edit users.


Trader

Perfect for Operations team members, Back-office staff, or Payment or treasury specialists.

Traders can exchange funds and view transactions. They cannot withdraw funds, manage API keys, or manage users.


Spender

Perfect for Finance leads, Risk managers, Team leads responsible for control

Spender can withdraw and exchange funds, and view transactions. They cannot manage API keys or users.


Owner

Perfect for Account owners, and Senior finance or operations leads

Owner can manage API keys, withdraw funds, exchange funds, view transactions, and add and manage users.

Approval permissions are defined by rules, not by roles. Any user β€” regardless of their role β€” can approve or reject a transaction if they are included in the list of approvers for a specific approval


Best practice
Limit the number of Owners to as few trusted people as possible.


How to Assign or Change User Roles:

  1. Open user management

    • Go to Team in your TXN account,

  2. Click to Add user

  3. Insert the name and assign a role

    • Select Viewer, Spender, Trader, Owner

  4. Send invitation

Tip: Always review roles after team changes or restructures.


Common Mistakes to Avoid

  • Giving Owner access to too many users

  • Forgetting to remove access when someone leaves the company

  • Using shared logins instead of individual user accounts
